Accrely ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website at accrely.com and our accreditation management platform at app.accrely.com (together, the "Platform").
Information We Collect
Account information
When you create an account we collect your name, email address, phone number, institution, and, if you provide one, a referral name or code. If you sign up with an email and password, your password is stored only in hashed form.
Information from Google sign-in
If you choose "Continue with Google," we ask Google only for the basic scopes openid, email, and profile. From these we receive your name, your email address, and whether Google has verified that email address. We never receive your Google password, and we do not access your Gmail, Google Drive, contacts, calendar, or any other Google data.
Platform content
Institutional data, program documents, evidence files, assessment records and scores, comments, and collaborator information that you or your institution add to the Platform.
Usage information
Log data such as IP address, browser and device type, and access times, and information about how features are used, which we use to keep the Platform secure and to improve it.
How We Use Your Information
- To create and manage your account and sign you in.
- To provide the Platform, including document management, program assessment, scoring, and accreditation reporting.
- To send account-related emails, such as signup confirmations, approval notices, and sign-in alerts.
- To protect the Platform against fraud, abuse, and bots.
- To maintain and improve the Platform.
How We Use Google User Data
We use the name and email address received from Google only to create your Accrely account or sign you in to it, and to contact you about that account. We do not use Google user data for advertising, we do not sell it, and we do not transfer it to anyone except as needed to provide the Platform, to comply with the law, or with your consent. We do not use Google user data to develop, improve, or train generalized AI or machine-learning models.
Accrely's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can remove Accrely's access to your Google account at any time from your Google Account permissions page. This stops future Google sign-ins but does not delete your Accrely account; see "Your Choices" below to request deletion.
How We Share Information
We do not sell, rent, or trade your personal information. We share it only:
- With authorized members of your institution who collaborate with you on the Platform, according to the roles and permissions set for each program.
- With service providers that help us run the Platform, such as cloud hosting and file storage, email delivery, and bot protection (Cloudflare Turnstile). They may use the information only to provide those services to us.
- When required by law or to protect the rights and safety of our users.
Assessment data and documents remain under your institution's control at all times.
Cookies
We use cookies and similar storage that are necessary for signing in and keeping you signed in, including short-lived, secure cookies used only while you complete a Google sign-in. See our Cookie Policy for details.
Data Security
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We use cloud storage providers (AWS S3/R2) with enterprise-grade security. Role-based access controls ensure only authorized personnel can access sensitive accreditation documents.
Data Retention
We keep your account information for as long as your account is active. Accreditation documents and assessment data are kept for as long as your institution needs them for accreditation and archival purposes. When you ask us to delete your account, we delete your personal information, including any data received from Google, unless we are required by law to keep it.
Your Choices
You can ask us to:
- Access or correct the personal information we hold about you.
- Delete your account and personal information.
- Export your data.
- Stop sending you non-essential emails.

Children's Privacy
The Platform is intended for staff of higher education institutions and is not directed at children under 13. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will post the new version on this page and update the "Last Updated" date. If we make a significant change to how we use Google user data, we will ask for your consent first.
